Qualified candidates will join our team in Centennial, CO and work fully in-office.

Responsibilities

As an Administrative Assistant, you will perform a variety of administrative tasks and activities in support of our project team located in Centennial, CO. The ideal candidate will be hard working, flexible, and thrive in a fast-paced environment.

 

General

  • Assist and provide support for all office employees and make sure they have everything they need to do their jobs efficiently.
  • Provide additional support to team members as needed, such as assisting with testing/training materials development, printing/collating documents, etc.
  • Act as the main contact for all vendors and payments (e.g., coffee, inspections, etc.).
  • Manage the company Amazon Business Prime Account.
  • Collaborate with Project Managers and Project Admins across FAST to work on special projects and requests as needed (i.e. sending swag, mailing forms, providing vendor contacts and general assistance).
  • Assist in the management of the company Swag Store website.

 

Office

  • Order and maintain office supplies.
  • Manage Building Access System while collaborating with the Corporate Security Team (i.e., set-up badges and profiles, audit system as needed, and request/remove access).
  • Ensure first aid kit is available as well as miscellaneous supplies.
  • Stock items and maintain general cleanliness in common spaces throughout the office (e.g., break room(s). training room, meeting rooms, etc.).
  • Maintain office phone list.
  • Prepare for meetings (i.e., set-up for any special meetings) including furniture organization and Office Set Up.
  • Act as Chief Safety Warden for HQ - conduct training and keep logistics organized regarding drills and compliance while coordinating with Legal as needed.
  • Schedule building inspections and repairs.
  • Track and ensure building is up to code and compliant to conduct business in terms of building inspections (e.g.: backflow, fire extinguishers, sprinkler system, fire panel, etc.).
  • Track building repairs and services as needed.
  • Coordinate with Building Engineer to ensure repairs and tasks are attended to, including ordering supplies as needed.

 

Mail

  • Handle general mail pick up & drop off.
  • Manage the company FedEx Account and add users from Project Sites as needed.
  • Prepare FedEx shipments and arrange for pick up or drop off, including maintaining the FedEx mailing materials on site.

 

Special Events and Activities

  • Coordinate and facilitate social outings and lunches as needed. For many events, this would include showing up prior to the event to ensure everything is ready, providing adequate directions for team members, organization of accommodations for special dietary restrictions, etc.
  • Coordinate community service/volunteer opportunities.

Qualifications

  • Completed a bachelor's degree in business/public administration, Management, Social Science, Communications, or related field in Office Management and Administration.

    • Equivalent experience will be accepted in place of the required degree

  • Proficiency in Microsoft Office products, including Word, Excel, and PowerPoint.

  • Strong organizational skills.

  • Excellent written and verbal communication skills.

  • Ability to multi-task independently.
