Responsibilities

We are seeking a driven, organized, and collaborative Conference Coordinator to join our team in Centennial, CO and work fully in-office. The ideal candidate will thrive in a challenging, fast-paced professional environment and be eager to contribute to both our internal and external conferences. Travel to attend and coordinate conferences is a key aspect of this role. 

 

The key skills and responsibilities a successful candidate will embody include:

  • Collaboration:
    • Work closely with management and key stakeholders to understand conference expectations and requirements.
    • Collaborate closely with a team to strategize and evaluate various decisions, ensuring meticulous planning and preparation of events.
  • Logistical Task Management:
    • Handle logistics for conference attendance, including, but not limited to, gathering attendee details, conference registration, hotel bookings, and material shipments.
    • Create relationships with conference organizations to facilitate mutually beneficial outcomes. Including the coordination of sponsorship and onsite needs including equipment, catering, audio visual items and other logistical elements.
  • Event Preparation:
    • Conduct comprehensive research and analysis to determine the ideal venue for events, considering budgetary constraints and various logistical requirements for optimal event execution.
    • Coordinate and execute flawless event features and enhancements: decorations, catering, entertainment, transportation, communication, invites, and venue selection.
  • Creative Concept Development:
    • Generate creative ideas for various projects, including but not limited to, event themes, conference swag, catering, and entertainment pieces.
    • Communicate ideas and operational details to other team members and management for final approval.
  • Client Relations:
    • Build and maintain positive working relationships with clients, vendors, and outside organization’s leadership teams.
    • Respond to vendor and client inquiries promptly and professionally.
  • On-Site Coordination:
    • Travel to various conference locations to manage on-site logistics.
    • Responds adeptly to unexpected challenges, employing swift problem-solving skills under pressure to ensure events run smoothly.

Qualifications

  • Obtained a bachelor’s degree in marketing or related field of study.
  • Preferred 1-3 years of experience in event planning, coordination, or logistics.
  • Strong understanding and working knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to manage multiple projects simultaneously with minimal oversight.
  • Strong sense of personal ownership and pride in your work.
  • Possess strong interpersonal skills to facilitate building productive relationships with all levels of employees.
  • Potential to support team members and work collaboratively.
  • Excellent written and verbal communication skills.
  • Willingness to travel as needed.
  • Willingness to work outside standard hours occasionally.
